How can you save money on shipping (and be greener at the same time)?

We ship. A lot. Every week, hundreds of coffeehouses all over the country rely on Barista Pro Shop for our products. Some of our customers count on us to complement their local distributor, while many of our customers use us as their primary supplier. We use our own trucks for deliveries within a hundred miles or so of our warehouses, but beyond that we work with our shipping partners to deliver your products.

How do we ship? At Barista Pro Shop, our shipments take one of two forms. Smaller orders (generally any order from $5 to $750) ship with the small package division of either UPS or FedEx. We can ship your package "expedited"-that is, overnight or second day air, but most of our shipments go via Ground Service. Guess what? With our strategically located warehouses, we can ship to at least parts of 34 of the lower 48 states in 2 days or less using ground service! We can ship to your businesses' commercial address and even to your home residential address (TIP: If you have a choice, it's less expensive for you to have your product shipped to your commercial address). We charge you based on the published rates from the carrier (TIP: The rates for UPS and FedEx Ground are identical - make your choice based on which carrier you prefer-faster delivery time, less damage, nicer delivery driver, etc).

Orders larger than $750 will typically go via FedEx Freight. This is FedEx's "less than truckload" service. We assemble your order on a pallet, secure it with shrinkwrap, and load it onto a truck with our forklift . We send a lot of shipments with FedEx Freight, and they do a terrific job for us. We experience very little damage and their on-time track record is excellent. FedEx Freight is our preferred national freight carrier. Some of the advantages of using FedEx Freight over other freight carriers for your Barista Pro Shop shipments are:

  1. Guaranteed Time in Transit - If FedEx Freight does not deliver to you on time (barring inclement weather or other "act of God" type problems), they will rip up the bill and we will refund you the amount of the shipping. Even if Barista Pro Shop were paying for your freight, we will refund the shipping costs to you.
  2. Free Inside Delivery - We are proud to offer you this service at no extra charge. The FedEx Freight driver will unload the delivery and bring it into your store-much like your UPS or FedEx Ground driver does. You don't need to worry about "unloading the truck". There are a couple of areas of the country where this service is not offered for free. If you are in one of these areas, we will contact you before shipping your order.
  3. Great Rates - Net freight rates are usually cheaper per pound than the comparable small package rates. When you use FedEx Freight, you have access to the great discounted freight rates that we have earned from them.
  4. Great Customer Service - FedEx Freight provides excellent online tracking for your shipment and their customer service reps are excellent. The drivers are uniformed, professional and great to work with.
  5. Speed! - With our 2 warehouses and the excellent shipping network at FedEx Freight, there are only a few small areas in the country where we can't get the shipment delivered in 2 days or less These are just some of the advantages. At Barista Pro Shop we have a lot of experience with all sorts of different freight companies-some are better than others. FedEx Freight is the best in the industry.

What will you pay? As you run your business, we feel it's very important for you to get your arms around the concept of "landed cost". Landed Cost is the cost of the products you are buying plus whatever cost you experience to get them to you. The cost of the products is pretty straight forward-it's what we are charging you. The other costs may not be quite so obvious. If you are paying UPS or FedEx Ground to deliver the goods, you will pay those transportation charges. Some less obvious costs to consider would include:

  1. Cost of damage - although we rarely experience damage to a UPS or FedEx Ground shipment (only about 1 out of 500 packages), that doesn't matter to you if you are the unlucky one. We work hard to effectively package your products, but the fact remains that many of the products are heavy liquids and are susceptible to damage. We have damage with freight shipments too, but it tends to happen much less frequently. So what is the cost of damage? Well, you need to wait for us to reship the product and if the damage was not concealed, you may have a messy package to clean up.
  2. Packaging Materials - Foam peanuts-we know your thoughts on the subject and we don't like them either. We also don't like the expense of the molded fiber packing material which we use for bottle shipments and we don't like all those extra corrugated cardboard boxes that we have to use. On your end, the peanuts blow all over the place and you have to throw all that stuff away. It fills your dumpster, then it fills the landfill. When we ship to you with FedEx Freight we almost never use foam peanuts or molded fiber packaging.
  3. Labor - Unpacking those smaller packages and checking them in takes longer for your staff to process than freight shipments.
  4. Environmental Impact - Small package shipments take up more space on the delivery truck because we usually need to use extra packing materials. On a freight shipment, we use fewer boxes which take up less space. That's more efficient which means it's greener.
  5. The cost of your time-does it take more time to place ten $100 orders than one $1,000 order? Of course it does. Please don't cheat yourself-there's nothing more costly than wasting your time.

Did you know we have some products with free shipping?

That's right. By far, the most popular free shipping product we sell is Big Train - all wholesale Big Train orders over $75 ship for free. When you combine free shipping on orders of $75 or more with the free cases offer-wait a minute-you didn't know we did this either? We match Big Train's direct offer of free cases on their products. For example, if you buy 5 cases of Blended Iced Coffee products you get a case for free. The same goes for the Big Train Chai products and the Big Train Fruit Tea Blast products. When placing your order, simply put 30 bags (6 cases) of Blended Iced Coffees in your cart, or 24 Bags (6 cases) of Chai in your cart, or 36 bottles (6 cases) of Tea Blast in your cart, and you will get 1 case of those for free--AND you get free shipping! So what's the best strategy to save money on shipping?

We believe that you should consolidate your shipments as much possible. The most convenient way to do this is to make sure you're ordering as many products as possible from Barista Pro Shop. It's much harder to save shipping money if you're only buying a few products from us. Don't get us wrong. We appreciate that business as much as any, but the purpose of this article is to help you save money. So you should carefully examine our catalog of products, and add any products that you use to your EZ Order. This way you'll ensure that you are ordering as many products as possible from Barista Pro Shop. If you are working directly with Big Train, it is to your advantage to buy those products from us instead-the pricing and the deals are the same, and you'll be earning credit towards free shipping on your complete order. The next step is to place your orders on a regular schedule where you are spending more than $750 on each order. For some shops, this will be a weekly order, and for some, you may order less frequently. Either way, your goal should be to order frequently enough so that you don't run out of any products, but efficiently enough that you minimize your freight costs. Don't forget, if we're shipping with FedEx Freight, you'll get complementary inside delivery-please don't be intimidated by the pictures of the pallets!

So what's the best strategy to earn free shipping?

It sounds too good, I know. But we do ship lots of product by freight every day and BPS pays the freight charge. We've recently overhauled our Instant Freight Rebate program to make it even easier to earn free freight. If we ship to you using FedEx Freight, and you order $750 of product we will immediately give you $50 back to defray the freight costs. We'll also tell you what you need to spend to get free freight no matter what you order. We've also added a "packaging material" element to the Instant Freight Rebate. For example, the cost to us of shipping you a case of Monin syrup is about $3.00 in packing materials. If you order that case as part of a freight shipment, we'll give the $3.00 right back to you-we'd rather spend the money on you, our customer, than the box company. Is this confusing?
